Streamlining Patient Management

Canadian Vein Clinic, running 17 locations across three provinces, needed to streamline aging EMR, appointment booking, and email systems. Ollon built a custom web application, migrating ten years of patient data and adding automated diagrams, secure digital forms, and integrated fax. Staff now spend less time searching for data and confirming appointments, and can access the system from anywhere.

With 17 locations across three provinces, privately owned Canada Vein Clinic needed to streamline their electronic medical record (EMR), appointment booking and email systems to meet their evolving needs.

Ollon developed a customized web application, designed to manage patient profiles and records (migrating ten years worth of data from their previous system, AbleMed), appointment scheduling and automated email reminders, as well as an integrated fax system.

The new platform has significantly reduced time spent searching for data, creating forms, following up with patients, and confirming appointments. It has increased availability for all staff without requiring a remote desktop connection, allowed patients to digitally sign and complete forms, and generally improved efficiency.

Quality assurance and testing

Canadian Vein Clinic's patient management platform needed testing across many specific data scenarios, and some hard to reproduce issues only surfaced once staff were using the system daily, often tied to legacy data carried over from their previous system. Ollon worked closely with the clinic's team, using screen sharing sessions to reproduce and track down problems as they came up, including bugs that only appeared on certain versions of iOS when doctors pinched and zoomed documents on their iPads during procedures. Working through these sessions let Ollon isolate and fix issues tied to real patient data and specific device behavior that a generic test suite would not have caught.

Workflow Engine

Canadian Vein Clinic staff previously had to manually coordinate each stage of a patient's visit separately, from initial consultation through scheduling, procedure documentation, and follow up, with no single system linking the stages together. Ollon built workflow automation that connects each stage in sequence, so completing one step moves the patient and their data automatically into the next stage. Staff now follow a patient through the entire visit inside one continuous flow, from the first consultation to the last follow up.

React

Canadian Vein Clinic needed a patient management interface that could handle complex forms across 17 locations, including replacing hand drawn diagrams that showed where on a patient's leg a procedure needed to be performed. Ollon built the application in React, creating components for multi location appointment scheduling, secure document sharing with patients, and a custom questionnaire that generates those procedure diagrams automatically from patient answers. Doctors now use these React interfaces directly on iPads during procedures, reviewing and signing documents as part of their normal workflow.
